Contact research
Build a useful business contact research sheet for free
Record relevance and sources before collecting addresses or sending an introduction.
Good contact research starts with a reason to speak, not a large address count. Build a small sheet of organizations that fit a specific need, then record the public source and the appropriate contact route. You can do this with a free spreadsheet before paying for discovery credits.
For example, a packaging studio might research local shops that publicly invite supplier proposals. A useful record says what they sell, why your service fits and where proposals belong. An address with no context is much less useful.
| Column | Example entry |
|---|---|
| Organization | Fictional Elm Coffee |
| Fit | Publishes a request for recyclable takeaway packaging |
| Source and checked date | Supplier information page, checked today |
| Preferred contact route | Supplier form named on that page |
| Status | Research only; no message sent |
| Owner and next step | Mina; review the supplier requirements |
Research a focused shortlist
- 1
Define a narrow fit
Write two or three observable conditions, such as location, service need and an invitation to contact. Avoid collecting personal details that do not help decide whether the business is relevant.
- 2
Read the organization's own pages
Use the contact, partnership or supplier page. Record the exact source and preferred channel. A general support inbox may be the wrong route even when it is easy to find.
- 3
Separate facts from guesses
Quote short factual labels in your private notes where needed, and mark unconfirmed assumptions. Do not infer private addresses from name patterns or treat a guessed address as verified.
- 4
Review before contacting
Check whether the proposed message fits the published invitation and applicable requirements. Respect opt-outs and site restrictions. Where the organization provides a form, use that route instead of forcing email.
Use Venmail for legitimate correspondence once there is a suitable reason and channel. Keep the research sheet separate from a subscribed marketing audience. A researched organization is not automatically a newsletter subscriber.
OpenRefine can help clean the sheet if it grows. Scrapy is a free crawling framework for authorized collection projects, but it requires technical operation and does not decide whether a source permits collection or contact. Manual research is often faster for a short list.
