3. Data Sharing & Third-Party Access

We do not sell your personal data. However, we may share information with:

  • Service providers for hosting, delivery, analytics, and AI processing. Email analysis can send message content and extracted attachment text to Groq, a third-party AI provider.
  • Legal authorities if required by law
  • Third-party integrations you enable (e.g., Google Calendar, Zoom)

4. Security & Encryption

Storage location, connection security, and content processing are different parts of the service:

  • The web application uses HTTPS. Venmail processes email content on its servers to provide mailbox and AI features; this is not a blanket end-to-end encrypted or zero-access service.
  • Managed plans currently use the same shared storage infrastructure. Nigeria, South Africa, and Europe selections record a future region preference, not current data residency. Customer-provided storage settings govern mailbox storage placement but do not by themselves confine application or third-party AI processing to that location.
  • Ask our team for the current deployment controls, subprocessors, and contractual requirements before using the service for regulated or sensitive workloads.

5. Your Rights & Choices

Under applicable laws such as GDPR and CCPA, you have the right to:

  • Access your data
  • Request data deletion
  • Export your data
  • Request information about AI processing and the controls available for your account
  • Manage cookie preferences (see Cookie Policy)

6. Data Retention

We retain your data for as long as your account remains active. Upon request, personal data will be permanently deleted within 30 days unless required by law.
