Contact research
Audit email addresses on your own website with free tools
Find outdated contact links and route visitors to a monitored mailbox.
An email extractor can be useful for maintaining your own website. Find every published contact address, check that the mailbox still has an owner and replace outdated routes. This is a concrete housekeeping job that does not require buying a lead database.
Start with a limited set of pages: Contact, About, Support, Careers and your footer. A business often forgets an old address in one of these places after a migration. Customers may still use it even when the main contact page is correct.
Run the audit
- 1
Define the authorized scope
List your own domains and pages. For a client's site, get the appropriate access and scope. Do not turn this maintenance exercise into unrestricted collection from unrelated sites.
- 2
Collect published contact routes
For a small site, search the visible text and mailto links manually. A developer can parse saved HTML with free Beautiful Soup or use a carefully scoped Scrapy crawler. Respect crawl limits and avoid private sections.
- 3
Review context
Record the page, displayed label and address together. A careers address may intentionally differ from support. Do not replace every address with a single mailbox without checking its purpose.
- 4
Test ownership and replies
Send a clearly labelled internal test to each address you control. Confirm who receives it and whether a reply works. Check configured aliases and forwarding in the current mail service rather than assuming an old address still exists.
- 5
Update and retest
Correct the website through its normal publishing process. Point the public route to a monitored Venmail mailbox where appropriate. Revisit the page and test the link after publication, including the mobile footer.
| Page | Published route | Owner | Action |
|---|---|---|---|
| Contact | hello@example.com | Customer team | Keep; test passed |
| Old brochure page | sales-old@example.com | No current owner | Replace after confirming routing |
| Careers | Application form | Hiring team | Keep the dedicated form |
This audit verifies your published routes and who handles them. It does not prove an unrelated address belongs to a particular person. Keep a dated record so the next domain or staffing change has a clear checklist.
The collection and review can be done entirely with free tools. Venmail can provide the mailbox side according to your plan. Remember that website edits, mail aliases and forwarding rules are three separate places to verify.
Audit complete
- All scoped pages were checked
- Each address has an owner
- Aliases and forwards are tested
- Updated links work on mobile
- The result is recorded for the next change
