Warm-up & inbox testing

Email warm-up myths: what to measure instead of a score

Replace a reassuring warm-up score with evidence about real messages and real recipients.

By Ada from Venmail

A high warm-up score does not tell you whether a customer received today's invoice. Before buying a service, ask what its score measures and whether the sample resembles your real audience. You can make a more useful first assessment with evidence you already have.

There are several different outcomes: your application created a message, the sending service accepted it, the receiving server accepted it, and the person found it useful. Treating all four as delivered hides the place where a problem starts.

Replace the claim with a question
ClaimBetter questionEvidence you can collect
Your domain is warmWhich normal messages succeeded?Message IDs and recipient feedback
Ninety-nine percent inbox rateWhich inboxes and what sample size?Named test providers and folder results
More opens means better reputationDid people complete the intended action?Replies, bookings or confirmed account actions
A new domain fixes everythingWhat caused the original problem?A change log and bounce explanations

Make a weekly evidence review

  1. 1

    Pick one stream

Choose customer replies, a subscribed newsletter or application alerts. Keep the audience and purpose clear. Mixing all traffic into one number makes a small but important failure hard to see.

  2. 2

    Count attempts and outcomes

Use Venmail's available reporting and your application records. Write down the number attempted as well as failures. One bounce among five messages needs a different investigation from one among fifty thousand.

  3. 3

    Add a human check

Ask a colleague who owns a test mailbox whether the message arrived and where. A test is a sample, so label it as one. Do not manufacture replies or ask recipients to conceal unwanted mail.

  4. 4

    Choose one next action

Fix a broken reply address, remove an invalid recipient, or investigate an authentication error. Write down why that action follows from the evidence. Keep the previous result for comparison.

This review is free to run in a document or spreadsheet. Venmail gives you a place to send and answer the real messages. If you later buy monitoring, choose it because it answers a question this basic record cannot answer.

Keep the review honest

  • Counts include a denominator
  • Test mail is separate from real traffic
  • Unknown outcomes stay unknown
  • No score is described as an inbox guarantee
